Chief of Staff (Onsite NYC)

Position Overview

We are seeking an exceptional Chief of Staff to serve as the trusted right hand to our Founder & concierge team. This role is focused on managing the operations of our concierge team.

The ideal candidate is highly organized, proactive, discreet, and thrives in fast-paced, high-expectation environments. The ideal candidate is obsessed with operations, SOPs & Processes. They look for ways to improve communication, alignment & anticipate needs. They are a great leader of a team pushing everyone to be their best.

Key Responsibilities

Manage and oversee a team, ensuring tasks are completed accurately and on time
Coordinate complex domestic and international personal travel, including itineraries, accommodations, transportation, and last-minute changes
Oversee clients’ calendars, scheduling appointments, events, and commitments while proactively resolving conflicts
Manage logistics across multiple residences, ensuring household needs, maintenance, vendors, and deliveries are coordinated efficiently
Coordinate logistics across clients' residences, including property-related requests, household staff, vendors, deliveries, and maintenance as needed.
Manage personal lifestyle arrangements, including dining, events, wellness, entertainment, and other bespoke requests.
Serve as the primary liaison between clients and household staff, assistants, vendors, and trusted service providers.
Track ongoing client priorities, follow up on outstanding requests, and ensure timely completion across internal and external teams.
Anticipate clients' needs by identifying potential issues and proactively implementing solutions before they arise.
Maintain the highest level of discretion and confidentiality while handling sensitive client information.
Continuously improve workflows, service standards, and operational processes to enhance the client experience.

Ideal Candidate

5+ years of experience supporting founders, executives, high-net-worth, or ultra-high-net-worth individuals in a personal support capacity
Experience managing teams
Exceptional organizational and time-management skills with meticulous attention to detail
Strong experience managing complex calendars, personal travel, scheduling, and household logistics
Excellent written and verbal communication skills
Highly proactive with the ability to anticipate needs before being asked
Comfortable juggling multiple priorities while remaining calm under pressure
Demonstrates the highest level of discretion, professionalism, and confidentiality
Tech-savvy and proficient with Google Workspace, calendar management, project management, and communication tools
Available to work full-time during Eastern Standard Time (EST) business hours

Full-time, Onsite
Must be available during Eastern Standard Time (EST) business hours
