Personal / Executive Assistant to Chairman of Family Office. (NYC-Midtown)

Midtown-based Chairman (59th/Fifth) seeks Assistant to ensure his four-person Family Office and personal life run smoothly. There are additional offices in Miami and Brazil which require coordination with related executive staff as well as with household employees and his wife. This position includes direct support and is in-office M-F. This family and their associated business entity (in the payments space) have a history of employees staying with them for many years.

Requirements

Minimum 5 years’ C-level EA experience or UHNW PA experience

BA/BS from US college or equivalent

Experience working in Brazil preferred but not required

MS Office Suite, full capability with Excel

Concur

Ability to use AI to solve problems and research questions

General facility with tech, software, and troubleshooting office equipment

Refined sensibility, polished presentation

Friendly, respectful, reserved manner

Responsibilities

Daily support for Principal including calendar, gatekeeping, communications on this behalf

Anticipate Principal’s needs (which are consistent)

Regularly communicate with Brazil-based Executive Assistant and wife

Ensure Family Office runs smoothly and is very organized

Travel planning

Expense tracking

Manage Upper East Side house staff, vendors and contractors

Onboard new employees

Organize business contracts

Renew subscriptions (Bloomberg, Wall Street Journal, etc)

Miscellaneous personal projects for Principal and his wife

Errands

M-F 9am-5pm

$180K/year (may vary with experience)
